Customer relationship management is not everybody’s cup of tea. Unless you’re Amazon or Apple who generously showers all their affections and energy on customer service, you need to take your game up a notch.

Here is how a typical customer service conversation goes:

Customer Support agent: “General Motors Helpline, how can I help you?”

Customer: “My car ran fine for a week, and now it won’t go anywhere!”

Customer Support agent: “Is the gas tank empty?”

Customer: “Huh? How do I know?”

Customer Support agent: “There’s a little gauge on the front panel, with a needle, and markings from ‘E’ to ‘F.’ where is the needle pointing?”

Customer: “It’s pointing to ‘E.’ what does that mean?”

Customer Support agent: “It means that you have to visit a gasoline vendor, and purchase some more gasoline. You can install it yourself, or pay the vendor to install it for you.”

Customer: “What!? I paid $$12,000 for this car! Now you tell me that I have to keep buying more components? I want a car that comes with everything built in!”

Tim Ferriss, in his best-selling book, “The 4-Hour Workweek”, shares this valuable insight:

If you read any book on customer service, you’ll only come across two types of customers. First, those who are happy with your service. And second, those customers who are not happy with your service. But Tim Ferriss talks about the third kind of customers: he labels them as energy drainers.

These type of customers take a lot of your time but add very little value to your business. With these type of customers, what you can do is fire them. Yes, you read it right: fire your energy draining customers like a boss. For the rest of your customers, here are some tips which can help you deal with your customer relationship management issues:

1) The miraculous power of saying thank you

Not everyone will appreciate the good that you do, even the words that you use for them. But as a company, you need to carry a brand personality with you. Maybe you might not consider saying thank you or even sorry a big thing, but customers really care about how you make them feel.

These two phrases carry an immense amount of power. Saying thank you or even apologizing to your customers will go a long way towards helping you establish a bond with your customers. Portraying emotions sends a message to your customers that you’re also human. Akin to people, brands too can make mistakes. But what separates ordinary brands from successful ones, is the level of transparency they show towards their customers.

So what if you have messed-up or did an excellent job of delighting your customers. You’re allowed to bask in appreciations showered your way or say an occasional sorry to your customers when the need arises.

Of course, you need to ensure that the phrase comes straight from your heart. Whatever you feel, you need to communicate to your customer without upsetting them. This is the core of Customer Relationship management.

2) Sell from the heart, not from words

I’m a huge fan of selling without selling. I have a habit of networking with people in a unique way. Instead of just asking open-ended random questions in a conference, I ask what problems people are facing in their business and go out there to solve them.

Selling from the heart entails establishing a bond before you pitch your product. Instead, you just ask them for their problem and you provide them a solution in the form of your brand.

There is no clear-cut way to connect with your customers on a deep level, but what you can do is to listen to your customers. Even if you don’t have any idea of what your customers want, you can always listen to them. Because sometimes customers are not looking for someone, something, or someone to blame, they just need someone to listen to. Customer Relationship management is more about listening, connecting, to your customers and less about just making the sales.

After you’ve made them feel good about themselves, you’ll be able to sell them anything and they will be happy to buy from you.

3) Instead of features, talk about benefits

When I started my first business, I was over the moon. I used to speak at conferences and attend seminars and talked up the features of my products. For sometimes, this approach worked like a charm. But, then one-day, reality dawn on me. I was making a lot of noise but was unable to create an impact. Instead of selling the features, I started selling their benefits.

When Apple launched iPod, they didn’t mention any feature. Instead, they were selling the benefits.

When everyone was busy vying for the store war, Apple ventured forward to grasp what customers wanted. How many songs can this hold? And answered the question with their marketing campaigns.

They are selling software but they haven’t mentioned the word ‘software’ on their website. But, still, they have managed to win over their customers and make some good money by selling the benefits of their product.

This doesn’t mean that features don’t matter. They do. But in the current high-tech economy where customers are well-informed, you need to give them what they really want. You have to fulfill their needs for your product.

4) Be flexible & friendly

You don’t need to force customers to subscribe to your newsletter.

If you’re not able to sell something to the customer on the first go, it is perfectly understandable. When Zappos was starting out, they worked hard on customer service. But as they say, you cannot make everyone happy. Don Power – one of the customers wanted to have some fun with the company. So, instead of shoes, he asked the customer service agent to send him a Pizza.

What was supposed to be a prank turned out to be a huge business opportunity? The very next day there was a parcel from Zappos and guess what was in it? This is how Zappos handles its customers. A clear example of Customer Relationship management.

If you want to create a memorable experience for your customer, you need to be friendly & stay flexible. No matter how angry your customers get, if you can find a business opportunity with your conversation, make sure that you avail the chance to make the sale.

5) Get to the point

There is no need to take much time to your customers.

The world is moving so fast, that if you miss the opportunity to grab the attention of your customer, your potential customer will surely turn that opportunity and leverage it to their advantage. With this attention-deficit generation, people don’t have time to read long paragraphs and make something out of it. Just give them what they want in a few bullets.

Despite the size of the brand, you’re expected to treat customers with respect and offer a solution to their problems. Customer Relationship management is a serious business. You need to work hard and do things that make your customer happy.

With an information deluge storming the audiences, people are losing interest in logic and facts and often tend to overlook such dreary developments. People are switching to making decisions based on emotions, rather than stone cold voice of reasoning. And storytelling is a fantastic way to cultivate an emotional connection with your customers. Seth Godin has it right when it said, “ Marketing is no longer about the stuff that you make, but about the stories, you tell.”

Simply capturing stunning images and uploading them on your website is only half the battle. The other half, the better half to be more precise, is linking those images with captivating stories that have a propensity to strike the right cords. Great stories help to foster the credibility of your brand and position you at the right spot in the eyes of your potential customers. As author Gary Halbert puts it, “And do you know what the most-often missing ingredient in a sales message is?  It’s the sales message that doesn’t tell an interesting story.  Storytelling – good storytelling – is a vital component of a marketing campaign.”

What does a great story look like, you may ask? And how can you create stories for your brand that don’t just engage people, but, more than that, they help people establish a much-needed bond of trust with your brand?After all, as Pixar storyboard artist Emma Coats puts it, “You gotta keep in mind what’s interesting to you as an audience, not what’s fun to do as a writer. They can be v. different.” Here are five rules that can help you build memorable, and beautiful stories for your brands.

Rule 1: Break the Rules

Right from the time when you fall down from heaven till you are ready to go back up again, you are trained in a manner that inadvertently compels you to follow the rules. But in storytelling, rule #1 is to break the rules. If you want to stand out from the competition, you need to break the rules.

Why do people pay $1.20 for a normal cup of Coffee, but are willing to pay a whopping $5.50 if that Coffee comes from Starbucks? Is it the brand power? Yes, it is. But, deep down, it is the story that Starbucks keep telling us which makes all the difference.

Before 2015, successful movies were the ones that were fabricated in a third-person action. But, a Russian filmmaker Ilya Naishuller wanted to break the script and try something new. So, he came up with a twist. He made the whole movie in first-person. Hardcore Henry is an action film shot entirely through a first-person point-of-view. For some, this might seem like an out-of-the-box movie. But, for me, it was jaw-droppingly fascinating!

For your brand story, you can put the protagonist (the customer in the lead role) and built a story around him. His problem, your solution, his trust. Try out writing a story like this in your next digital campaign and see how people respond to that.

Rule 2: Try Something Different yet Familiar

When Brian Acton & Jan Koum were faced with a problem of effectively sending instant messages to people, they created WhatsApp. Messaging had been around for quite some time, but what Brian & Jan did was to change the narrative of connecting with people.

The messaging feature was the same, but they enhanced the product with a kick of innovation that people absolutely swooned over. As the author, Daniel Pink has it, “The future belongs to a different kind of person with a different kind of mind: artists, inventors, storytellers-creative and holistic ‘right-brain’ thinkers.”

A good brand story revolves around two things: a problem and a resolution.A great brand story centers on the main character, the time, and the place where it all began. For you that will be the first ‘why’. Why it all started and what you can do about it!

Rule 3: Start with the Ending

I am a horror movie aficionado. And anybody who is into this grisly genre knows for a fact that the ending is what keeps us glued to our screens. Take any successful horror movie and right in the first scene, you will be greeted with a gruesome beginning. This is not a coincidence. This is simply playing with the psychology of the viewers.

This is what feeding the curiosity of the brain to garner the attention of the viewer is all about. The same rule applies to brands. If you as a brand aspire to attract your potential customers, don’t start with the features that your product is touting. Always start with the promise of an ending (solution) that your customer can anticipate for.

Rule 4: Add Emotions to the Story

Logic leads to conclusions while emotions lead to action. If you want your brand story to make an impact, fill it with emotions. Kevin Roberts in his marvelous book “Lovemarks: The Future beyond Brands”, talks about emotions and how they lead to decision making. “Humans are powered by emotions. Study after study has proven that if the emotional centers of our brains are damaged in some way, we don’t just lose the ability to laugh or cry, we lose the ability to make decisions.”

If you want to leave a mark on your customer’s mind – the best way is to touch their emotions. Make sure that your brand story moves them. Make them cry, feel joy or excitement, and even provoke them into a state of irk or rage. If you are able to do that, your brand will be remembered for ages.

As Laura Holloway, The founder of the Story Telling agency has said, “If all you’re doing is marketing, you’re doing it wrong. Storytelling works because you’re sharing a memory or a lesson, or you’re inspiring someone with your own story. Rather than just selling, you’re giving something of value. Storytelling offers the opportunity to talk with your audience, not at them. People can’t help but want to be a part of your story, and that’s how marketing can happen the natural way.”

Rule 5: Find that Sweet Spot

According to the digital marketing director, Melinda Partin, “At its very core, marketing is storytelling. The best advertising campaigns take us on an emotional journey – appealing to our wants, needs, and desires – while at the same time telling us about a product or service.”

Whether you are a burgeoning Entrepreneur or a well-established business, there are two things that you need to take care of. First, your brand values, and second, the needs of your customers. When creating your brand story, you need to find that sweet spot in between, and let the customer come to you.

Make them curious, guide them, and aid them in solving their problems. Create your brand story which people can relate to, and ensure that the story leads them to a solution.

At the end of the day, you’re living in an era where technology has never been more affordable and approachable. You have all the tools that many of us and those before us could only have dreamed of 15 to 20 years ago, at your beck and call. I am sitting here in Starbucks, sipping my usual large macchiato, and an architect hands me a Virtual Reality (VR) handset with a smartphone. Suddenly the cafe disappears. And I am transported to Miami, inside a luxurious apartment. From here I can see the condo towers and oh my… the water views from my apartment windows are spectacular!

I venture a foot forward towards the pool area. I have a menu to choose the time of the day. Would I prefer to be mesmerized by the shimming rays bounding off the gently rippling waters of the pool, or perhaps revel in the tranquil sparkling water under a full moon? Since the menu seemed enticing, I was just about to choose when I hear the voice of my architect.

I take off my glasses and I am unceremoniously dumped back in the bustling cafe. The memories linger however, and I can still feel the wonderful sensations in my body. My eyes are telling me that I have just walked across a wonderful poolside where I can feel the breeze on my skin, and the gentle protest of the lapping waters in my ears. But my body says that I am sitting in a café and drinking Coffee, oh and yes, I am just about to fall.

From the beautiful virtual Miami, my eyes are on the architect sitting right next to me. He is smiling. I smile back and walk away.
